1. Getting Started

Polaris HighSchool gives your school real-time access to student academic data that students already track in the Polaris Student app — grades, study habits, test scores, college plans, and more. Zero new data entry required.

Key benefit: Data like study hours, self-reported goals, career interests, and college applications is impossible to get from any other school platform. It only exists inside Polaris.

Audience: school administrators, counselors, teachers, and district leaders. Every role sees only what their permissions allow.

2. Register Your School

  1. Go to polarishighschool.com and click Register Your School.
  2. Enter your school name, your name, title (Principal, Counselor, etc.), and work email.
  3. Create a password and click Create School Account.
  4. Validate your email and sign in.
  5. Complete the 3-step onboarding: school type, grade levels offered, approximate enrollment.

You start on the Starter plan (free, up to 50 students, 2 admin seats). Upgrade anytime from Account → Subscription.

3. Invite Staff

  1. Go to Staff Management.
  2. Click Invite Staff, enter email and role (Admin, Counselor, Teacher, Viewer).
  3. Staff receive an email invite and set their own password.

Bulk invite: upload a CSV (email,first_name,last_name,role) from the Staff page.

4. Invite Students

Single invite code

  1. Go to Student Roster.
  2. Click Generate Invite Code.
  3. Share the 6-character code with a student.
  4. Student enters it in their Polaris Student app → Settings → My School.

Bulk invite code

  1. Choose Bulk code type.
  2. Set max uses (e.g., 200 for a whole grade).
  3. Share via email, announcement, or QR poster.

CSV import

Upload a CSV (email, first_name, last_name, grade_level, student_number). Students with existing Polaris accounts are auto-matched; new students get invite links by email.

Privacy: Students control which modules they share. Default is all-on, but they can toggle off grades, tests, colleges, etc. at any time.

5. School Management

5.1 School Profile

Set school name, NCES/CEEB code, address, phone, website, logo, and academic year. These fields feed reports and are visible to students when they join.

5.2 Staff

Manage all staff accounts. Roles:

Change roles, deactivate accounts, or resend invites from the row actions menu.

5.3 Student Roster

Full list of connected students with filters for grade, status (active/invited/revoked), counselor assignment, and risk level. Click any row to open Student 360°.

5.4 Departments

Create departments (Math, Science, Counseling, etc.), assign staff and classes. Enables department-scoped analytics and reports.

5.5 Calendar

Publish school-wide calendar events (holidays, testing windows, parent nights). Events appear in students' Polaris calendars automatically.

5.6 Announcements

Push announcements to the whole school, specific grades, or custom cohorts. Students see them in the Polaris feed and receive optional push/email.

6.1 Counselor Dashboard

At-a-glance view of your caseload: flagged students, today's appointments, pending recommendations, upcoming deadlines.

6.2 Caseload

Assign students to yourself or other counselors. Set priority (Normal, Watch, Urgent) and filter the list accordingly.

6.3 Student 360°

The crown jewel. Click any student to see everything in one screen:

Private counselor notes per student — never visible to the student or their parents. Supports tags and timestamps.

6.5 Appointments

Schedule meetings, let students book into open blocks, send reminders. Syncs to your school calendar.

6.6 Graduation Tracker

Credit audit for each student vs. your school's graduation requirements. Automatically flags deficiencies and projects graduation dates.

6.7 Recommendations

Track letter-of-rec requests: student, college, deadline, status (requested → drafted → submitted). Email reminders included.

Auto-generated alerts for:

10.2 Profile

Update your name, title, email, password, and notification preferences. Two-factor authentication recommended for all admins.

10.3 Settings

School-wide preferences: academic year start/end, grading scale (4.0 vs. 100-point), graduation-credit requirements, time zone, default language.

11. FAQ

What if a student doesn't have a Polaris account?

They can create one for free at polarisstudent.com. It takes 30 seconds. The more students who join, the more valuable the data becomes for your school.

Is student data editable by the school?

No. All school access is read-only. Students own their data.

Is Polaris HighSchool FERPA compliant?

Yes. Read-only access, student-controlled privacy toggles, encryption in transit and at rest.

Can we cancel anytime?

Yes. Monthly plans cancel at the end of the current period. Annual plans are refundable pro-rata within 30 days.
